Duties

  • Accurately and efficiently record Customer purchase order data into SAP and Salesforce; orders are received via phone, fax, email, EDI and Internet.
  • Process repair services through Salesforce according to Customer requests.
  • Send information to Technicians; escalate as needed.
  • Monitor Salesforce until repairs are accepted by the Technician.
  • Manage Customer response level as indicated to meet Customer expectations.
  • Investigate product backorders, freight shipments, and invoice inquiries providing Customer with up-to-date information.
  • Educate Customer on product inquiries and further reinforce the information with product literature utilizing HFG Intranet and website, Product
  • Managers, or internal reference materials.
  • Research availability on service parts.
  • Quote service parts per Customer request.
  • Makes and receives calls with the intent of selling products or services.

  • Must be knowledgeable on where to send what repairs and returns including responding to inquiries about HFG products and services…
  • Provides order, repair and return estimates and re-estimates to representatives and Customers. Responds to inquiries regarding timely turnaround times and responds to various other Customer inquiries.
  • Researches and resolves complaints.
  • Research Customer inquiries on product functionality; may require interaction with HFG Clinical or Product Manager to ensure Customer needs and expectations are met.
  • Confirm order sell price is in compliance with HFG price
  • Interface with freight carriers and Corporate Traffic for shipment routing, tracking and proof of deliveries.
  • Facilitate cross functional communications to ensure proper account setup, orders are free of account or item holds, tax issues are resolved and products are shipped to meet Customer requirements.
  • Research and document Customer complaints into quality system ensuring that all relevant facts and data are captured; escalate issue based on severity of complaint.
  • Run daily reports including un-booked order, process hold, credit card authorization failure and specific product reports as needed.
  • Provide post-order management support including issue resolution.
  • Utilize available resources to update or increase knowledge on products, systems, procedures, procedures and Corporate initiatives.

  • Ability to handle high call volumes consistently throughout the workday that range in complexity and sensitivity while maintaining composure with customers
  • Process orders for new and existing customers, collecting necessary information for insurance billing; collect payment as needed
  • Operate company provided hardware and navigate multiple computer programs throughout the day to address customer’s concerns
  • Consults with Supervisor or Team Lead on complex and unusual problems
  • Adhere to business processes to ensure all work is being done compliantly and in accordance with regulatory standards
  • Navigate multiple systems and consult with internal resources to provide order status updates to achieve first time call resolution
  • Interpret the meaning of insurance terminology, plans and documentation and explain what it means in an easy-to-understand way

SHIFT: Your new hire training will take place Monday-Friday, 8:30am-5pm EST, mandatory attendance is required. Once you have completed new hire training, you will take part in a shift bid to determine your schedule.

This position is full-time (40 hours/week). Employees are required to have flexibility to work any of our shift schedules during our normal business hours of 8am-9pm EST Mon-Fri and 9am-3pm EST Sat. Agents assigned a shift with a Saturday workday will receive a shift differential of $1/hr. Agents assigned a shift that ends at or after 8pm, will receive a shift differential of $2/hr.

In addition, based on seasonal fluctuations in volume, there are times throughout the year where overtime is mandated.

  • Work closely with health plans/payers and maintains strong business relationships.
  • Provide appropriate issue resolution and/or escalation when needed. Work under moderate supervision, with clinical oversight.
  • Participate in and contribute to performance improvement activities.
  • Learn, understand and maintain working knowledge of products and services offered by the company.
  • Receive and respond to incoming calls or faxes from providers, referral sources, and potential patients.
  • Communicate with carrier/health plan representatives, providers, and patients.
  • Provides issue resolution and escalation to management when appropriate.
  • Document all communications and decisions into a computer database.
  • Understand and evaluate patient PAP adherence reports and other mechanisms of therapy.
  • Consult applicable Payer Fact Sheets and other available resoureces. Works with other staff and patients to identify potential solutions as problems are identified.
  • Assure the completion and coordination of work in an associate’s absence, or as needed, to maintain departmental standards.
  • Follow up with servicing providers to ensure authorization to completion as well as ensures timely delivery of services.
  • Master the Intake/Verifications function as a second function; Staffing as back-up and learn two health plans.
  • Participates in special projects and performs other duties as assigned.

Qualifications

You should reach out if you have:

  • A High School Diploma or the equivalent.
  • Minimum 1 year work experience in a customer service environment.
  • 1 year billing, insurance or claims experience preferred.
  • Experience with Medical terminology, insurance verification or healthcare experience preferred.
  • Proficiency and are comfortable in a computer-based environment.
  • Values of accountability, consistency, engagement, patient compassion, empowerment, respect and outstanding service.
  • Excellent communication, customer service and problem solving skills, as well as the ability to effectively interact with all levels of management and highly diverse customers.
